Privacy Policy

This policy explains how we collect and use personal information on optimalafrica.co.za, as required by the Protection of Personal Information Act 4 of 2013 (POPIA). It covers the enquiry and newsletter forms, workshop bookings and this website. The Optimal EPM platform at epmbuz.com has its own Privacy Policy.

1. Who we are

• Optimal Africa, trading as Optimal Africa Business Solutions (“Optimal Africa”, “we”), runs this website, answers enquiries, sends our updates and delivers coaching, workshops and business diagnostics. 13 Penny Street, Rayton, Gauteng, 1001 · info@optimalafrica.co.za · +27 79 138 4286.
• EPM BUZ (Pty) Ltd (registration number 2026/691616/07, 13 Penny Street, Rayton, Gauteng, 1001) is part of Optimal Africa and sells workshop seats booked on this website. It is responsible for booking and payment records.

Our Information Officer for both companies is Cecil van Niekerk, info@optimalafrica.co.za.

2. What we collect

• Enquiry form: your name, business name, email address, phone number, preferred way of contact and your message.
• Newsletter form: your name and email address, and your consent to receive updates.
• Workshop bookings: your name, email address, phone number, company (optional), the names of the people attending, the workshop booked, the amount paid and the payment reference. Card details are entered on Paystack’s secure payment page and never reach our website.
• Technical information: our web server records IP addresses and browser details in its logs to keep the site secure.

3. Why we use it

• To reply to your enquiry and arrange the service you asked about.
• To send you our updates about coaching, workshops and new packages, only if you ticked the consent box. You can unsubscribe at any time.
• To deliver the workshop you booked: confirming your seat, sending joining details, and handling changes, cancellations and refunds.
• To keep the accounting records the law requires.
• To protect this website against misuse.

We do not sell your personal information, and we do not use it for automated decisions about you.

4. Who receives it

• Paystack processes card payments for bookings under its own privacy policy. Paystack collects your card details, not us.
• Our hosting and email: this website, its database and our mailboxes are hosted on a server in Frankfurt, Germany. The hosting provider is subject to the European Union’s General Data Protection Regulation, a law that provides protection substantially similar to POPIA, and may process the information only to provide hosting (POPIA section 72).
• WhatsApp: if you use the WhatsApp button, your conversation is handled by WhatsApp (Meta) under its own privacy policy.
• Authorities, when the law requires us to share information.

5. Cookies

We do not use analytics or advertising cookies. The booking pages use WooCommerce’s cart and session cookies, which are needed for checkout to work. The WhatsApp button only opens WhatsApp when you click it. Fonts are served from our own server, not from Google.

6. How long we keep it

• Enquiries: 24 months, then deleted automatically.
• Newsletter details: until you unsubscribe, and at most 24 months.
• Bookings: the financial record of the booking (amount, date, reference) for 7 years, as company law requires; your contact details are anonymised 12 months after the workshop.
• Server logs: about two months.
• Backups: overwritten within 14 days.

7. How we protect it

Encrypted connections (HTTPS), two-step login for administrators, limited access for our staff, software kept up to date, and nightly backups. No system is completely secure. If a security breach affects your personal information, we will notify you and the Information Regulator as POPIA requires.

8. Your rights

You may ask us what personal information we hold about you, ask us to correct or delete it, object to us using it, and unsubscribe from our updates at any time. Email info@optimalafrica.co.za; we will respond within 30 days and may ask you to confirm your identity first. You may also request records under our PAIA Manual. If you are not satisfied with our response, you may complain to the Information Regulator (South Africa): inforegulator.org.za.

9. Children

Our forms and bookings are for adults (18 or older). Schools and youth programmes book through an educator or organiser, and we do not collect information about learners through this website.

10. Changes

We will post any changes on this page and update the date at the top.
